Who we are

Information you choose to provide
We receive information when you email us, request private-list access, ask for additional photographs, submit an object for consideration, or otherwise contact the Society. This may include your name, email address, telephone number, location, message, object information, and any photographs or documents you elect to send. Finder’s Eye inquiries may also include the source you choose to provide, available campaign labels, the referring website’s name, and the page where you arrived. This helps us understand how inquiries reach the Society; it does not give us your private search history. Non-identifying campaign labels may be carried in links between public pages and included when you submit an inquiry. This does not enable optional Google Analytics. With your consent, source information may also be retained for the current browser-tab session.
The Client Portal and purchases
Individual Client Portal access codes are stored as server-side hashes. An essential session cookie keeps your private access authenticated. We keep your private offer details, accepted purchase terms, and order and payment records to administer your purchase. Stripe collects payment-card, contact and delivery information directly through its hosted checkout. Payment confirmation and the information needed to fulfil your order are available to the Society; we do not store full payment-card numbers.
The Private List
When you join the Private List, we securely store your name, email address, signup time, and consent to receive occasional correspondence about discoveries, Field Notes, and private acquisitions. You may ask to be removed at any time by replying or emailing us.
How information is used
Information is used to answer inquiries, review identification and sourcing requests, provide requested documentation, administer the Private List, process purchases and delivery, assist with fit-related exchanges or refunds, prevent fraud or misuse, maintain records, protect legal rights, and comply with applicable obligations. Photographs submitted through The Finder’s Eye are stored privately for the purpose of reviewing and responding to the request; they are not published without permission. We do not sell personal information.
Service providers and disclosure
Information may be handled by service providers that support hosting, email, security, professional administration, Stripe payment processing, and delivery as applicable. We may also disclose information when reasonably necessary to comply with law, protect a person or the business, investigate fraud, or complete a business transaction. Providers operate under their own terms and privacy practices.
Retention and security
We retain information only for as long as it is reasonably needed for the purposes described, including transaction records and legal, tax, fraud-prevention, or dispute requirements. We use reasonable administrative and technical safeguards, but no email, website, or storage system can be guaranteed completely secure.
Your choices
You may ask to review, correct, or delete information you have provided, or opt out of Private List correspondence, by contacting us. Some records may need to be retained where required for transactions, security, legal obligations, or legitimate business records. We will respond in accordance with applicable law.
International visitors and children
The website is operated from the United States and may be accessed internationally. Information may therefore be processed in the United States or other locations used by service providers. The website is intended for adults and is not directed to children under 13.
Changes to this notice
We may update this notice as the website, services, or legal requirements change. The current version and its effective date will remain available on this page.
